About the Position

Reporting to the Operations Officer , the Operations Assistant is responsible for overseeing logistics, administrative and security support cells of ALIGHT Uganda Program. He/she will ensure effective and efficient support services to ALIGHT’s programs, ensure that ALIGHT’s and other applicable procedures and regulations relating to logistics, security and administration are complied with.

PRIMARY PURPOSE OF THE POSITION:

Reporting to the Operations Officer, the Stores Clerk will oversee receipt and disbursement of supplies for ALIGHT. He/She will ensure Proper Store management in line with ALIGHT Inventory  policy requirements, supervise loading and off loading of goods, manage all stores related documentation..

KEY DUTIES & RESPONSIBILITIES

  1. Receive supplies and equipment procured and delivered to the field site/locations for program activities.
  2. Inspect deliveries to confirm that materials delivered conform to the details of the Purchase Order, Delivery Note and or Way Bill and that they are free of any damage before accepting them into the store.
  3. Write out a Goods Received Note (GRN) for every consignment received and inform the sector heads immediately.
  4. Make entries onto all stock control records (Warehouse Register, Bin Cards, and Stock Cards).
  5. Sort all materials received into their categories using item codes as per the coding sheet.
  6. Ensure that the store is tidy and well arranged all the time to ease removal of or getting in materials and or movement of people.
  7. Ensure safety and security of stores, store staff, equipment and materials kept in the various stores.
  8. Issue supplies and materials from the stores as per the duly authorized Stores Release Forms (SRF).
  9. Write out a Way Bill for materials being transported out from the store to projects sites.
  10. Keep track of inventory levels and alert the sector heads and Logistics Assistant before stocks of particular items run out.
  11. Maintain stock cards for equipment/tools/materials on temporary storage.
  12. Periodically carry out self-auditing to ensure that correct records are kept, systems and procedures are followed, reporting times are met, etc. by use of designed checklists.
  13. Prepare monthly stores and stock/inventory reports submit them to Logistics Assistant.
  14. Ensure that there is a constant check on the perishables and those with expiry periods to ensure that such materials and supplies are not kept longer than their stipulated expiry / perishable dates.
  15. Maintain and update good information/record system for easy reference (copies of all relevant documentation including delivery notes, requisition notes, purchase orders, and shipment, reports, etc.)
  16. Control access to stores and ensure that only authorized personnel enter stores.

Perform any other duties assigned by the supervisor or in his/her absence, his /her designate.

REQUIREMENTS

  • Diploma in Business related field.
  • At least 4years experience in similar position.
  • Working knowledge in computer Microsoft Word and Excel.
  • Exhibit team Spirit.
  • Ability to multiple tasks and work effectively with staff from different backgrounds with minimum supervision.
  • Good communication and analytical skills.
  • Ability  for practical problem solving
  • High Integrity and discipline
  • Good understanding of stock managements
  • Experience managing and working with a diverse staff and challenging situations.
  • Excellent Planning and Organization skills
